Guidelines for Reservations

  • Any student requesting a reservation must have a faculty sponsor who will be responsible for the education and implementation of a simulation. A meeting with the student, faculty sponsor, and Center for Human Simulation and Patient Safety staff will be required after the request has been submitted online. This meeting is essential for the reservation to be approved.
  • Requests MUST be submitted online using the web form above. Emailed requests or previously used forms will NOT be considered and will be denied.
  • Request submissions should adhere to the requested timelines outlined below. Any requests received past the requested timeline may be denied.
  • Changes to reservations must be submitted no later than two weeks prior to a scheduled session via email; not all changes to reservations may be able to be honored. Any request for changes made after this window will be made at the discretion of the center.
  • Cancellation policy: Any session cancelled, less than two weeks prior to the session will need to have a reservation request resubmitted for a later date which must be at least four weeks out. Any session cancelled more than two weeks prior to the session may be rescheduled as availability allows. Any cancellation due to force majeure will be rescheduled as availability allows. If written notification of cancellation is not received, the requesting faculty member or department may be invoiced. In the event that an instructor fails on multiple occasions to cancel within the time frame, future reservations may be denied.
  • Recording policy: All sessions are recorded for quality and educational use. The recording is kept for 30 days, after which the recording is permanently deleted. If you wish to keep the recording past 30 days, please select that option on the form.
  • Requests outside the scope of VCU School of Medicine and VCU Health may require an additional facility and/or administrative fee.
  • Please note: Our medical simulation rooms are dedicated exclusively to immersive, interactive training through realistic patient scenarios and procedural simulations, providing learners with a controlled environment for hands-on practice. These spaces are not intended for traditional lecture-based activities or as meeting room venues.

Requests should adhere to the following timeline for consideration:

  • High-fidelity requests (including the use of Standardized Patients, Ultrasound Patient Models, Simulation Technologists and/or Simulation Assistants): 8-12 weeks
  • Low-fidelity requests (involving use of task trainers): 4-6 weeks
  • Equipment Loan requests: 2 weeks
  • Photo shoots: 2 weeks
  • Tours: 1-2 weeks
  • Vendor demos: 4-6 weeks (may be subject to Sim Center room use fees)
  • Requests for video/photography shoots, tours and vendor demonstrations should be coordinated through our Operations Manager/Division Administrator - Elizabeth Trent at efredericksen@vcu.edu
